ORBYND Privacy Notice

Last updated: 1 August 2026. This notice explains how ORBYND processes personal data in applications, the Membership Pass, Guest Pass, digital community features and physical Events.

1. Data controller

ORBYND is a trade name/concept of To-Be Media B.V., Kingsfordweg 151, 1043 GR Amsterdam, the Netherlands, Chamber of Commerce no. 80609759. Questions or requests can be sent to info@orbynd.com.

2. Data we process

Depending on how you use ORBYND, we process:

identity and contact data such as name, email address, city and date of birth;
application, Membership Pass, payment, reservation and attendance data;
profile information such as relationship intent, interests, lifestyle, smoking, family situation, wish for children and social preference;
dating and gender preferences that may reveal sexual orientation;
a recent profile photo for review, verification, preparation and recognition;
optional social media information for authenticity checks;
internal recommendations, completed introductions and Mutual Connect choices;
reports, moderation decisions and necessary safety information;
technical data, referral source and limited security logs.

We do not photograph or copy your identity document. At check-in we record only that a manual check was performed.

4. Explicit consent and withdrawal

Dating preferences may reveal special-category personal data. We therefore request separate, explicit consent. You can withdraw consent via info@orbynd.com. Withdrawal does not affect prior lawful processing, but may mean that matching, introductions or the Membership Pass can no longer be provided.

5. Matching and human review

ORBYND uses profile criteria to rank potential introductions. Core criteria include mutual dating preference, age preference, relationship intent and attendance at the same Event. Additional criteria may include lifestyle, distance, interests, smoking, family situation, wish for children and social style.

A team member reviews recommendations before operational use. ORBYND does not make solely automated decisions with legal effects and does not guarantee a match or romantic outcome.

6. Profile photo and Host Console

Profile photos are stored securely and are not publicly displayed or sent as email attachments. Authorised reviewers, hosts and Connection Concierges receive access only for their role. A concierge normally sees only first name, photo, relevant profile characteristics, recommended introductions and introduction status—not surname, contact details, social profile or identity document.

7. Mutual Connect and Circles

A Mutual Connect opens only when both people independently indicate interest. Until then, choices and contact details are not shared. Circles are subject to access restrictions, moderation and the ORBYND Code of Conduct.

8. Recipients and service providers

Where necessary, data may be processed by hosting, storage, email, payment, security and other technical service providers working for ORBYND. Venue and Community Partners do not receive access to personal member or matching data. We do not sell personal data.

Where data is processed outside the European Economic Area, we use an applicable safeguard such as an adequacy decision or Standard Contractual Clauses.

9. Retention periods

non-activated or declined applications: generally no more than 6 months after the last substantive review unless you consent to a longer waitlist period;
active member profiles and profile photos: for the Membership Pass term and up to 90 days afterwards unless longer retention is necessary for a report or dispute;
Guest profiles: up to 6 months after the latest Event so the Profile Passport can support a future application;
Mutual Connect choices without a mutual match: generally deleted no later than 30 days after completion;
safety and moderation data: for as long as proportionately necessary, subject to periodic review;
invoices and tax records: for the legally required retention period.

10. Security

We apply appropriate organisational and technical measures, including role-based access, encrypted connections, protected storage, logging, automatic screen locking and restrictions on local storage. No system is entirely risk-free; where a relevant incident occurs, we act in accordance with applicable notification duties.

11. Your rights

You may request access, correction, deletion, restriction or portability, object to processing and withdraw consent. Send requests to info@orbynd.com. We may verify your identity proportionately. You can also lodge a complaint with the competent data protection authority.

12. Cookies and analytics

Functional technologies may be used to operate the website securely. Non-essential analytics or marketing technologies are activated only when a valid legal basis or consent exists. The site does not use profile data for advertising targeting.

13. Changes

We may update this notice when services or laws change. Material changes are communicated clearly. Purpose limitation, data minimisation and limited retention remain guiding principles; see also the European Commission's GDPR guidance.
